How to Create an Action Plan in 5 Steps
More great content at http://www.authenticeducation.com.au/blog I regularly get asked by people in our community, "how do I put an action plan around a goal I want to achieve in my life?". The funny thing is, action plans are quite a simple thing to create. Step 1 - What do you actually want to create? You need to get clarity on your desired outcome by asking yourself this question. For example, you want to get your body fat down to 12% and look trim, tone and terrific. Step 2 - Create a timeline Get a piece of paper. On the left hand side write the letter A, on the right hand side write the letter B. Then simply draw a line from A to B. Now that you have this piece of paper with A on one side and B on the other, you are ready to start creating your timeline which will eventually become your action plan. Step 3 - Brain dump Brainstorm and write down every single action you think you might need to take in order to achieve your goal. In the 12% body fat example, this might be change my diet, go to the gym, do some sit-ups, drink more water, consult people I know who have an incredible physique that might want to share strategies on how to do that. Step 4 - Order the list Look down the list while looking for any things that are similar. This is to shorten the list down to the smallest number of actions you need to take to ensure you get your goal. Now you may be left with 6-8 steps. Step 5 - First essential step Ask yourself "what is the very first essential step that I need to take in order to move towards my outcome?". Once you know that first step, place it right next to the 'A' that you drew and that becomes the first step in your action plan. Ask yourself that question again. Place that answer next in the timeline. Pretty soon you have a full timeline going from A to B with every single step required in the correct order. Now you have an action plan. Action your action plan! The problem with action plans is you need to take actions to create one! So, if you haven't created an action plan before, my very first action for you is to create one now. In this article, we will be taking up monthly capacity planning for a team. We will be using the Resource Capacity Planner Excel Template in this exercise. (Link: https://indzara.com/product/resource-capacity-planner-excel-template/) SCENARIO: We are responsible for planning our team’s capacity every month. We need to have a realistic view of how much work can be done by our team next month, taking into account the availability of each of our team members during the month. This will allow us to commit to our leadership on deliverables’ scope and if needed ask for more resource or to reduce the deliverables. Resource Capacity Planner Excel template is helpful in understanding the available resource capacity, comparing with demand and identifying surplus/deficit capacity by skill groups. The template takes the resource availability, holidays, weekends, overtime and vacation data to calculate capacity. Then, based on your input demand data, it can calculate the surplus/deficit capacity. In addition, you can generate an employee availability report. It can be used in different environments. For example, a manager leading a team can use this to plan capacity of his team every month. A project manager who is working on a multi-month long project can plan the resource capacity for the entire duration. This can also be used outside corporate environments wherever you want to compare demand vs capacity. In this week’s video, we’re going to go over how to answer “tell me about a time when you worked with a team”. That’s coming up. Hi guys, I’m Kim with Snagajob, your number one source for hourly jobs and welcome to our weekly advice show. Situational job interview questions like “tell me about a time when you…(blank)” can be hard to answer. They are extremely open ended and used to help the interviewer get a sense of how you handle on the job situations. It’s important to format your answer in a way that remains on topic, but answers all the key points the interviewer is looking for. The STAR interview method is a great format to use. When asked to explain a time you worked with a team, there are definitely right and wrong ways to answer. You want to avoid answers like: “I hate teams, unless I can be the boss-I mean leader. There may be no ‘I’ in team, but there is a ‘me’ in team.” “My last job had a team environment, which was great because I could let everyone else do all the work. No worries though, I’m sure I’ll work harder at this job.” “I worked on a team in my last position. Man, I loved that job. My coworkers were hilarious. They had the best food too. Do you like chimichangas? ” You want to stay focused on the question and not come across as selfish or hard to get along with. Show the interviewer you have no problem working with others toward a common goal. “In my previous retail position, we were split into teams by department to work Black Friday and each department would compete to achieve the highest sales. My team and I made an action plan to have each person cover a specific area so that no customer would be an oversight and go without assistance. We ended up with a 10% increase in sales from the previous year and the highest number of sales among all the departments.” This type of answer is well-formatted and shows that you can be successful while working with others. As Carl Buechner said -- people will forget what you say; they'll forget what you do -- but they'll never forget how you made them feel. Engagement is the measure of the Team's Emotional Commitment to their leader and it's critically important for the bottom line. In America disengagement costs business over $350B a year and in Australia $45B! Gallup studies show only 30% of people are Actively Engaged despite all the attention on Engagement. Do you really know how engaged your people are? In the engagement surveys I conduct, the average business has about 50% Engaged AND Disengaged in total - This is a leaders first great opportunity! - The remaining 50% - sitting on the fence waiting for a leader to engage them...I call this, the leaders "Sweet Spot". An Actively Engaged team member is around 30% more productive than a fence sitter and retention is dramatically improved -- so it's essential that leaders work this sweet spot. A leader's second opportunity is the disengaged people -- or "Bad Apples" -- target them as well - help them adjust their attitudes, or help them find another job! Great leaders have Emotional Intelligence - but to really drive results and be exceptional - leaders need what I call EQ2 - Engagement Intelligence. EQ2 involves really understanding your people, finding their individual motivators and working on these "Hot Buttons" to improve morale, attitude and results. In my book "The People Pill" and in my engagement presentations we cover many strategies a leader can implement immediately - they cost virtually nothing and are guaranteed to make people feel great about themselves - which is the real secret to getting the best out of people and engaging them. Some of these strategies include.... - Five Minute Desk Chats......these are a way to show people you care about them ..."Mary, what's on for the weekend" - Sending out Personalised Handwritten Cards that recognize specific contributions, are timely & from the Heart - Morning Teas to Celebrate Progress & Success Stories - Holding a Breakfast of Champions to acknowledge effort - Pretend people have a banner on their forehead "Make Me Feel Special" Remember, people usually leave leaders not organizations and it's the line leader's responsibility for attitude and engagement! I recommend you measure your team engagement, and implement strategies like the ones above - focus on that sweet spot to bring everyone along and create a Culture of Engagement. It really will change your bottom line and retain - and attract - the best people! Learn how you can use data and science to make work better at https://g.co/rework Dr. Lauren Blackwell Landon, research scientist at the Wyle/NASA Johnson Space Center, talks about preparing a team to go to Mars and how team effectiveness is mission critical. Think your office is crowded? Now imagine occupying an area the size of a four bedroom house with four to six of your closest work colleagues for TWO AND A HALF years. On top of that, you can’t talk in real-time with your friends and family, you have to work out two hours a day, and there’s no escape plan. This is what a NASA team is preparing for as they get ready to send humans to Mars. Some things are mission critical: astronauts need to know when to step into formal leadership roles and step back into a proactive followership role, how to create a psychologically safe space, and how to manage conflict and respect boundaries. The team uses debriefs to address interpersonal and personal issues and work toward psychological readiness to ensure mission performance and safety.
